RECONFIGURATION
Generally people assume that a space has interior designers selecting furniture and finishes, but not everyone knows an outstanding space was carefully mapped out through space planning – an essential step in the interior design process. Space planning organizes the space, furniture and functions to work together and most effectively accommodate the needs of the employees and visitors.
When creative planning techniques are used in organizing a space, studies show employee engagement, client retention and innovation are boosted.
What should be Considered When Planning Your Space? First, what are the goals of the organization – employee engagement? Employee health? Inviting collaborative spaces? Space planning can represent and support these long-term goals with a suitably designed interior environment.
Next, think about how time will be spent in the building. Depending on the industry and type of business, employees might sit at their desk all day, they might collaborate and work in large groups or perhaps have a work style that falls somewhere in between. Most office environments will need to accommodate these possibilities in one way or another.
Finally, there should be a focus on designing a space that is ergonomically friendly for employees. Carefully selected furniture allows employees to both sit and stand in their workstation. Certain opportunities for activity can stimulate productivity and health. For example, eliminating waste cans at each station and offering one central trash/recycle station will get employees up and walking, if even for a short period of time.
Why Does Space Planning Matter?
The bottom line is, thoughtful space planning techniques are used by businesses looking to become more efficient and increase productivity. More efficiency in a space leads to higher productivity and greater employee satisfaction. Employee satisfaction can lead to better, more innovative work which benefits an organization as a whole.

PACKING
Preparing for an office relocation can be stressful. Moving into a new space is exciting but it takes a lot of work to make it happen. From personal belongings to large office machines, every item should be labeled and moved with care. Office Orioles has compiled a helpful packing checklist to make sure you don’t forget any of the important items along the way!
Packing your belongings correctly is an important part of a successful move. Effective packing can help protect your possessions and ensure that nothing is broken or damaged during the move. Effective packing can also reduce the time and effort needed during the actual move. Finally, great packing also means unpacking and setting up your new space.
Helpful Hints:
Color code
Color coding can be used to designate floors, departments, or individual rooms/offices. Just make sure to have a comprehensive key and distribute it to your employees and your moving company.
Labeling
Label everything including chairs, desks, lamps, mats, etc. Make sure labels on furniture are visible and write legibly. This will insure that you don’t lose any items and that your new office will mirror your old. Ensure that labels have a similar structure company-wide so items are easily identified.
Inventory
Make sure to take a final inventory of all items so you can ensure that nothing is amiss after the move. Taking inventory by room will allow for the most accurate count and will also help you place items if any labels fall off during the move. Tips by item:
IT Equipment
Office IT equipment, including printers, copiers, network equipment and servers, should be moved by trained professionals. Printers and copiers often require servicing prior to moving so the ink cartridges can be removed. Be sure to label each office machine with its desired location in the new space.
Telephones
Label each phone carefully and make sure they are kept together with their cords. Make sure to contact your phone service vendor to ask if you can maintain extension numbers, or if employees will receive new ones. Additionally, a professional will need to be hired to reconnect the phones to the network.
Computers
Computer monitors and hard drives should be carefully labeled to ensure that each employee receives their devices with all original documents and information. Make sure to bundle each computer with its wiring and cords. A trained professional should be hired to set up the network in your new office and check that each device is connected correctly.
Shelving
Pack the contents of your shelves. Make sure to inquire with your moving company whether or not large shelves must be disassembled prior to moving. If shelves must be disassembled, make sure to label all parts individually.
Desks
Pack loose office supplies like pens, paperclips, and tacks into plastic bags or envelopes. Most desk contents can be packed into a box and sealed but personal items such as pictures, plants, and other decor should be personally carried to the new space. After completely emptying your desk, lock or tape shut all drawers and place a label where it can be easily seen.
DECLUTTER
Having a workspace that’s organized and free of clutter can supercharge your day, giving you room to complete more tasks and freeing you from visual, stress-producing distractions. Maybe you’ve put off tackling the mess because you’re somehow attached to what’s in the room, are pressed for time or flat out don’t want to make choices about your stuff. Benefits of an Uncluttered Space
Decluttering creates a sense of confidence and self-efficacy (seeing yourself as competent).
Decluttering utilizes your decision-making and problem-solving skills: You’ve got Y amount of space and X amount of stuff. To make everything fit, you need to make reasonably quick decisions about whether to keep or discard items, and where to put them.
Decluttering is energizing. This is related to the first point.
Cleaning and organizing reduce anxiety.
We’ve evolved a preference for order and symmetry, because presumably those things conferred an evolutionary advantage back in our ancestral environment. When things feel out of order, it can (but not always does) make us feel scattered and anxious.* Creating order relieves that anxiety. Decluttering allows mind wandering and (sometimes) involves physical activity.
If you’ve been concentrating on hard cognitive work at your job or elsewhere, giving your mind a chance to wander can help you generate further insights into whatever it was you were working on. Physical activity can help supercharge this.
Decluttering can reduce relationship and family tension.
Clutter can create stress.
When you declutter, you often find lost treasures.
When you declutter, you often find items you’d forgotten you had.
